Privacy Policy for AccessResourceCenter.com

Effective date: December 15, 2025

This Privacy Policy ("Policy") explains how ClinX Academy LLC (referred to as "we," "us," or "our") collects, uses, stores, shares and protects personal information when you visit AccessResourceCenter.com or use any of our services, including the News & Events page and AI‑powered chat interface (collectively, the "Service"). It also describes your privacy rights and how you can exercise them. By using the Service, you consent to the practices described here. If you disagree with this Policy, you should not use the Service.

1. Scope

This Policy applies to personal information that we collect through the Service. It does not apply to information collected by third‑party websites that may be linked to or accessible from our Service; those third parties have their own privacy policies.

2. Information We Collect

We collect information that identifies, relates to, describes, references or is reasonably capable of being associated with you ("personal information"). The categories of personal information we collect include:

  • Contact Information: Name, email address and, where provided, other contact details (such as organization name or role) when you subscribe to alerts, submit an event, contact us or participate in surveys.
  • Event Information: Details you submit about events, including titles, descriptions, host names, dates, times, locations, registration URLs, video links, tags, transcripts and any notes. We may also extract information from URLs you provide using automated tools and AI models.
  • Chat Information: The questions and prompts you submit to our AI chat interface, the AI‑generated responses, and related metadata (such as timestamps, request identifiers and token usage).
  • Usage and Technical Data: Internet Protocol (IP) address, browser type, device identifiers, operating system, referral URLs, pages viewed, clicks, error logs, rate‑limit events, and other diagnostic data collected through our servers and third‑party analytics providers.
  • Cookie and Tracking Data: Information collected via cookies, local storage, web beacons and similar technologies used to recognize you, remember your preferences, perform analytics, measure campaign effectiveness and maintain security.

We also process de‑identified or aggregated information that cannot reasonably be used to identify you.

3. How We Collect Information

We collect personal information in several ways:

  • Directly from you. You provide personal information when you fill out forms (e.g., subscribing to alerts, submitting events, or contacting us), interact with the AI chat interface or correspond with us via email.
  • Automatically through your use of the Service. We automatically collect usage and technical data using server logs, cookies, web beacons and similar technologies when you browse our pages or use the Chat Service.
  • From third‑party sources. When you submit an event URL, we may retrieve metadata (such as event details or transcripts) from that external page using scraping and AI extraction. We may also receive analytics information from service providers and integrate transcripts for YouTube or other video sources.

4. How We Use Information

We use the information we collect to:

  • Provide and maintain the Service. Operate our website, process event submissions, send email alerts, enable the Chat Service, moderate content and respond to inquiries.
  • Improve and develop the Service. Analyze usage patterns, troubleshoot performance issues, test new features, train our AI systems and enhance user experiences.
  • Communicate with you. Send transactional emails (such as verification or confirmation messages) and, when you consent, send newsletters or updates about our services. You can opt out of non‑transactional emails at any time.
  • Protect our rights and comply with laws. Detect and prevent fraud, abuse and security incidents; enforce our Terms of Service; comply with legal obligations and respond to lawful requests from authorities.
  • Conduct research and analytics. Use aggregated and anonymized data to generate insights and compile statistics.

We do not sell your personal information. We do not use your personal information to deliver interest‑based advertising.

5. Legal Bases for Processing (GDPR and Similar Laws)

If you are located in the European Economic Area (EEA), United Kingdom, Switzerland or another jurisdiction that requires a legal basis for processing personal information, our legal bases include:

  • Consent: When you subscribe, submit content or otherwise affirmatively provide information, you consent to our processing for the specified purposes. You may withdraw consent at any time by contacting us.
  • Contract: We process personal information to fulfill our contractual obligations under our Terms of Service—for example, to provide access to the Service.
  • Legitimate Interests: We process data for our legitimate interests, such as improving our services, ensuring security, preventing abuse and ensuring the accuracy of event listings. We balance these interests against your privacy rights.
  • Legal Obligations: We may process personal information when required to comply with applicable laws, court orders or legal processes.

6. How We Share Information

We may share personal information with:

  • Service Providers and Partners. Third‑party vendors who help operate our Service, such as Supabase (database and authentication), email service providers (for sending verification and alert emails), analytics providers (to track usage) and AI platform vendors (to generate responses). These providers may access personal information only to perform services on our behalf and are contractually obligated to protect it.
  • Legal and Safety Purposes. We may disclose information if required by law or in good faith belief that such action is necessary to comply with legal obligations, protect our rights or the rights of others, investigate fraud or respond to a government request.
  • Business Transfers. If we are involved in a merger, acquisition, asset sale or similar transaction, your information may be transferred as part of that transaction. We will notify you via the Service or email if such a transfer occurs.
  • Other Users. When you submit events, portions of your submission (including the event details, transcripts and your name if provided) may be displayed publicly on the Service. We may also display anonymized excerpts of questions and answers from the Chat Service as examples or to assist other users.

We do not sell or rent personal information to third parties for their marketing purposes.

7. AI and Automated Decision‑Making

Our Service uses generative AI models to extract information from event URLs and to answer user questions via the Chat Service. These systems may process the text of your submissions and prompts to generate outputs. The AI is provided by third‑party vendors; your prompts and resulting outputs may be sent to and processed by these providers. AI responses may be inaccurate, incomplete or outdated. Do not provide sensitive personal, health, financial, or confidential information in your prompts. We do not use AI to make decisions that produce legal or similarly significant effects on individuals. If you object to automated processing of your information in this way, do not use the Chat Service or the automated event‑ingestion features.

8. Cookies and Tracking Technologies

We use cookies and similar technologies to:

  • Maintain your session and remember your preferences (e.g., whether you are logged in or subscribed to alerts);
  • Measure website traffic and usage trends;
  • Enforce rate limits and protect against spam;
  • Understand how users interact with our content.

Types of cookies we use include strictly necessary cookies (required for the site to function), performance/analytics cookies (to improve the Service) and functional cookies (to remember choices). Some cookies remain only for a session while others persist for a longer period. You can control or delete cookies through your browser settings and, where required by law, manage cookie preferences via a banner on the site. If you disable cookies, some features of the Service may not function properly.

9. Data Retention

We retain personal information as long as necessary to fulfil the purposes described in this Policy, unless a longer retention period is required or permitted by law. For example:

  • Email subscription records are retained until you unsubscribe and for a reasonable period thereafter to ensure compliance with your request.
  • Event submissions remain publicly viewable for as long as the event is relevant; archived submissions may be retained for historical reference or for preventing duplicate postings.
  • Chat logs are retained to enforce safety measures, improve AI performance and monitor abuse; these may be stored for up to one year unless a longer period is necessary to comply with legal obligations.
  • Analytics and log data may be retained for up to two years to track performance and usage trends.

When data is no longer required, we securely delete or anonymize it.

10. Data Security

We implement reasonable technical and organizational measures designed to protect personal information from unauthorized access, disclosure, alteration and destruction. These measures include encryption of data in transit and at rest (where supported), access controls, network firewalls and regular security reviews. Nevertheless, no method of transmission or storage is entirely secure; we cannot guarantee absolute security.

11. International Data Transfers

We are based in the United States, and the personal information we collect may be transferred to and processed in the United States or other countries with different data‑protection laws. When we transfer personal information from the EEA, UK or other regions with data‑transfer requirements, we rely on legal mechanisms such as Standard Contractual Clauses or your consent.

12. Your Privacy Rights

Depending on your jurisdiction, you may have rights with respect to your personal information, including:

  • Access: Request confirmation of whether we hold personal information about you and obtain a copy of that information.
  • Rectification: Request that we correct or update inaccurate or incomplete information.
  • Deletion: Request that we delete your personal information. We may decline requests where the information is necessary for legal compliance or for legitimate business purposes, but we will explain why.
  • Restriction or objection: Object to or request restriction of our processing of your personal information in certain circumstances.
  • Portability: Request a copy of your personal information in a structured, commonly used format.
  • Opt‑out of sale/share/targeted advertising: We do not sell personal information, but residents of certain states (such as California) may have rights to opt out of the "selling" or "sharing" of personal information for targeted advertising. We do not engage in such activities.
  • Withdraw consent: If processing is based on consent, withdraw that consent at any time without affecting the lawfulness of processing before withdrawal.

To exercise your rights, please contact us using the details in Section 15 below. We may ask you to verify your identity before fulfilling your request. If you reside in the EEA or the UK, you also have the right to lodge a complaint with your local supervisory authority.

13. Children’s Privacy

Our Service is not directed to children under the age of 13, and we do not knowingly collect personal information from children. If you are the parent or guardian of a child who has provided us with personal information, please contact us so we can delete the information. If we become aware that we have collected personal information from a child under 13 without parental consent, we will take steps to remove that information and terminate the child’s account if applicable.

14. Do Not Track & Global Privacy Control Signals

Some browsers incorporate Do Not Track ("DNT") or Global Privacy Control ("GPC") signals. Our Service does not currently respond to DNT or GPC signals. However, users can manage cookie preferences through our cookie banner or browser settings. If we adopt a practice of responding to DNT or GPC in the future, we will update this Policy accordingly.

15. Changes to This Policy

We may update this Policy from time to time. If we make material changes, we will post the revised Policy on this page and update the "Effective date" at the top. For significant changes, we may provide additional notice via email or a notice on our site. Your continued use of the Service after an update constitutes your acceptance of the revised Policy.
